5 hidden features in Apple Notes that make it a power-user tool

I’ve always loved using an iPhone. A few years ago, I was even called an “iSheep” online, and oddly enough, I wore that label with pride. Back then, I hadn’t really spent enough time with an Android to understand what it had to offer. Once I did, the perception changed quickly. Android phones are just as powerful and capable in their own way, and with a bit of tweaking, they can feel incredibly smooth and even refreshingly new.

I’ve spent time customizing my Android phone, adjusting settings, and shaping the experience to suit my habits. As a daily driver, Android works perfectly fine for me. But despite all that flexibility, there’s one thing I keep coming back to: Apple Notes. No matter how many alternatives I try on Android, nothing quite replaces it for me.

So while I’m comfortable using an Android phone every day, Apple Notes remains non-negotiable. It’s the one app I miss the most, and these five hidden features only make it even more powerful. Chances are, you’re probably missing out on a few of them, too.

I Tried Using Only Apple Apps for Productivity—And I’m Never Going Back!

Who needs third-party apps?

I’ve never been great at math, and I’ve accepted that it’s not something I’m suddenly going to master. That’s exactly why Apple Notes is such a lifesaver for me. It quietly takes the pressure off by making calculations so easy. At the end of every month, I sit down and review how much I’ve spent on groceries, investments, rent, and personal expenses. Seeing everything laid out in one place helps me set a realistic budget for the next month and gives me a much-needed reality check on my spending habits.

Using math in Apple Notes is surprisingly simple, too. All you have to do is open the Notes app on any Apple device, create a new note, and start writing your calculations. Then click the three-dot menu, enable Math results, and select Insert results from the pop-up. From there, Notes automatically calculates whatever you type, whether it’s addition, subtraction, or multiplication.

The best part is that everything happens instantly. I don’t need to open the calculator app or switch between apps to double-check numbers. It all stays neatly inside the same note, saving time and mental effort. For someone who wants quick, accurate results without hassle, this feature makes Apple Notes far more powerful than it looks.

Putting smart folders to work

Organization on autopilot

Smart folders in Apple Notes quietly take on most of the organizational heavy lifting. Instead of manually filing notes away, you can create folders that automatically sort notes based on rules you set. I’ve created separate smart folders for work, research, personal goals, and important updates I need to track. Everything lands exactly where it should, which means I can jump straight into the folder I need instead of digging through a long list of notes or relying on search every single time.

Apple Notes offers six filters when creating smart folders: Tags, Dates, Checklists, Folders, Attachments, and Mentions. Each one adds a different layer of control, but checklists are easily the most practical for me. I use them to create dedicated folders for grocery runs or household purchases. As I tick items off, the notes update automatically, helping me stay focused on what’s left without overthinking it. It’s a very nice feature that removes just enough friction to make staying organized feel extremely easy.

This replaces my need for a document app

Proof that Notes is more than Notes

Not too long ago, installing a separate document-scanning app on your phone almost felt essential. Some people still rely on one, but if you’re using an iPhone, you can safely skip the extra download. Apple’s Notes app doubles as a capable document scanner, and it works well for everything from receipts and bills to important forms.

Using it is very straightforward, too. Open the Notes app, tap the new note icon, and tap the paper clip icon. From there, select Scan Documents and point your camera at whatever you need to digitize. Once the scan is complete, you can save it directly within Notes or export it to the Files app if you prefer keeping it organized elsewhere, too. What makes this especially useful is the ability to add text notes alongside the scan. Quick explanations, reminders, or context you’ll thank yourself for later. It basically removes the need for yet another app cluttering your phone.

Voice notes inside notes

Recording the bits that I’d otherwise forget

I also rely on the Notes app during important meetings, especially the ones I know I’ll revisit in detail later. While I do jot down key points as we go, I make a habit of recording certain parts of the conversation for added context. Having the option to record audio directly inside the same note means I don’t have to worry about missing nuance or scrambling to write everything down in real time.

What I really appreciate is just how versatile the Notes app is on the iPhone. It handles tasks that would otherwise require multiple apps, all without breaking the flow. Recording audio is quite simple, too. Open a new note, tap the paper clip icon, and select Record audio. This opens the audio panel, where you can start recording instantly and play or pause as needed. You can also tap the Transcript icon in the bottom-right corner, and transcription will begin when you start recording. Once you’re done, tap the tick icon in the top-right corner to save the recording directly in your note, ready to be revisited whenever you need it.

Keeping certain notes to myself

A safe place for the important stuff

I don’t use a separate password manager either. Instead, I store my passwords and other sensitive details in the Notes app, using its built-in locked notes feature. Once a note is locked, it’s protected by Face ID, Touch ID, or a password, making it secure for everyday use.

I usually keep app logins, Wi-Fi passwords, banking details, and important account information in these locked notes. Everything stays in one place, but remains inaccessible unless I authenticate. Locking a note is quite simple, too. Just long-press the note you want to protect and select Lock Note from the menu. You’ll be asked to set a password if you haven’t already. Once that’s done, the note stays hidden and locked until you unlock it.

This way, all my personal and sensitive information is kept separate from the rest of my notes, without juggling yet another app.

Make sure you choose a password you’ll actually remember. I once forgot the password to a locked note, and it’s still locked to this day. I can’t access it anymore, and for some reason, Face ID doesn’t help either. It’s a good reminder to always set a password you won’t forget.

The case for sticking with Notes

There’s no shortage of note-taking apps out there, including plenty of solid open-source options. Still, nothing has quite clicked for me the way Apple Notes has. Over time, it’s quietly grown into far more than just a place to jot things down. With Apple’s writing tools and AI features now built in, even tasks like drafting emails have become noticeably easier.

The Apple Notes app replaces many apps. I don’t need a separate document scanner, a password manager, or even an AI transcription app anymore. Everything lives in one place, and it works without friction. That versatility is exactly why it stands out. I did give Google Keep a fair shot and even found myself genuinely torn between the two at one point. But in the end, Apple Notes fit my workflow better. It’s the app I keep coming back to, and at this point, I don’t see myself switching my note-taking habits anytime soon.
